ACCOUNT ANALYSIS · COMPLETENESS AT A GLANCE

The invoice that is missing? You spot it straight away.

One row per counterparty, one column per month. Recurring suppliers automatically get a flag when a month is missing, like the Eneco invoice for February that is not there. Costs too low, results looking too good: you now see it before you close the month, not months later. No Excel pivot table required.

The monthly matrix: all your invoices per counterparty, per month

Checking completeness means looking for what is not there, and that is exactly where an accounting package leaves you on your own. So the account analysis puts all invoices per supplier into a matrix: one row per counterparty, one column per month. A gap in an otherwise filled row jumps out immediately. Where you used to build an Excel pivot table, this stands ready the moment your figures are imported.

The rows fill with the amounts from your own books. Eneco is missing in February, and the rent in March is twice as high as usual. Exactly the two things you want to know during the month-end close, without building a pivot table for it.

Automatic flags on anything that deviates

You do not have to walk through the matrix line by line. Easyclose recognises which suppliers have a recurring pattern and automatically raises a flag when a month is missing or an amount is out of tune, with the expected amount next to it. One-off suppliers have no pattern and stay quiet, so you only look at what really matters.

Flags in colour, noise dimmed. A flag is a tool, not an accusation: sometimes a contract has simply ended. You judge it and decide what to do with it.

Click through to the invoice

An amount in the matrix is never a dead end. Every amount is the sum of real invoices and entry lines, and those sit one click away. So you check not only that a month is filled, but also with what.

In the matrix, Bouwmaat shows € 6,480 in March. One click and you are on the invoices behind it.

For your revenue too: per customer, per month

The same matrix works on the customer side. Revenue per customer per month, so you see gaps and outliers: the regular customer who bought nothing this month, or the spike that distorts your result. Useful for the completeness of your revenue, and just as useful for the conversation with your customer.

Van Dijk Bouw bought only €18k in April, against around €45k in the other months. Is an invoice missing, or was there really less sold? One click on the bar and you see the invoices for that month.

Suppliers and customers use the same matrix and the same flags. One way of looking, for your costs and your revenue alike.

Check completeness in three steps

The account analysis turns the completeness check into a short, fixed ritual in your month-end close: minutes instead of an afternoon of Excel.

STEP 1

Open the matrix

Choose suppliers or customers. One row per counterparty, one column per month, filled with the amounts from your own books. No pivot table to build, no exports to drag back and forth.

STEP 2

See what is missing or deviates

Recurring suppliers automatically get a flag for a missing month or a strange outlier, with the expected amount next to it. One-off counterparties stay quiet.

STEP 3

Click through and resolve

Click any amount through to the invoice or entry line. Chase the missing invoice or book an accrual against it, and close the month with costs that are complete.

Frequently asked questions

How does Easyclose know which suppliers are recurring?

From your own entries. A counterparty with invoices in (almost) every month has a pattern; based on the preceding months, Easyclose calculates the expected amount. If a month is then missing or the amount deviates strongly, you get a flag. A supplier with one loose invoice has no pattern, so it gives no flag either.

Does it work for my revenue too?

Yes. The same monthly matrix works on the customer side: revenue per customer per month. You see gaps (a regular customer who bought nothing for a month) and outliers (a spike that distorts the picture), and you click through to the invoice just the same.

Can I ignore a flag?

Yes. A flag is a tool, not a mandatory workflow: nothing is blocked and there is nothing you have to tick off. Sometimes the deviation is simply right, for example because a contract has ended. You judge it and decide for yourself what to do with it.

Does it work per BV and consolidated?

You view the matrix per entity, so for each BV separately. If you have several BVs, you switch between the entities in a few clicks and walk through the completeness of the whole group before you consolidate.

Do I need a separate module for this?

No. The account analysis is simply part of Easyclose, in every plan. As soon as your figures are imported the matrix stands ready, at no extra cost and with nothing to switch on.

Does it work on my phone or tablet too?

Yes. Easyclose is fully mobile-friendly; wide tables like the monthly matrix scroll horizontally within the screen. So you can check completeness on the go, although a matrix is of course most comfortable on a large screen.
